Why we collect personal information

We collect personal information so that we can respond to your enquiries, process and administer booking requests, deliver our services, communicate with you about your booking, and meet our legal obligations. We collect only what is reasonably necessary for these purposes.

What information we collect

When you send a booking request through the Contact form, we collect your full name, email, phone, selected service, experience level, preferred date, preferred time, number of participants, any racket hire request and your acceptance of this Privacy Policy.
Where a booking proceeds, we may also hold confirmed booking information, payment-related records where these are required, and correspondence between you and Be4isbev. When you use the website, limited technical website information may also be collected, as described in the cookies section below.

Data minimisation

We do not collect personal information that is not reasonably necessary for your booking or the administration of our services.

No health information in the booking form

The booking form does not collect diagnoses, medical history, injuries, medicines, disability details or health records. Health information is not a routine booking-data category for Be4isbev. If a practical access requirement may affect how a session is organised, you can contact us directly, as explained on the Courts & Sessions page.

How we use your information

We use your personal information to administer bookings, deliver our services, communicate with you, and comply with legal obligations. Collection is lawful and limited to what is necessary for these purposes.

Service providers

To operate our website and services, we may rely on trusted service providers, such as website hosting, email services and payment services. These providers may handle personal information only as needed to provide their services to Be4isbev.

Overseas disclosure

Some service providers may store or process information outside New Zealand. Where that is the case, we take reasonable steps to ensure the information is handled with appropriate safeguards consistent with applicable New Zealand privacy requirements.

Information you give us about other people

Where Be4isbev receives personal information about an individual from someone other than that individual — for example, when a booking involves more than one participant — we take reasonable steps to make sure that person is aware we hold their information, as required by New Zealand privacy law. If you book for other people, please let them know you are sharing their details with us.

No newsletter or direct marketing

This website does not provide a newsletter, promotional mailing list, marketing subscription, promotional SMS or a marketing consent checkbox. We do not use your information for direct marketing.

Keeping your information secure

We take reasonable steps to protect personal information against loss, misuse and unauthorised access, use or disclosure, using appropriate safeguards and information security practices.

How long we keep personal information

Unconfirmed booking requests — we keep relevant request information for 6 months after the last contact, then delete or anonymise it, unless it is required for a genuine dispute or legal obligation.
Confirmed bookings — we keep ordinary operational booking information for 12 months after the completed session, for customer service and booking queries.
Cancelled bookings — we keep relevant cancellation information for 12 months after cancellation, unless a dispute remains active.
Customer correspondence — we keep ordinary customer correspondence for up to 2 years after the last substantive contact, unless it forms part of a current dispute or a record that must lawfully be retained longer.
Payment and accounting records — we retain financial records for the period required by applicable New Zealand tax and accounting law.
Technical and security logs — we keep ordinary technical and security logs for up to 6 months, unless a security incident reasonably requires longer investigation.
Complaints — we keep complaint records for up to 2 years after resolution, unless a continuing dispute requires longer retention.
Privacy requests — we keep records of completed privacy-rights requests for up to 2 years after completion, where reasonably necessary to demonstrate how the request was handled.

Our site may use cookies and similar technologies for essential website functions, preferences, statistics only where you consent, and advertising analysis only where you have given consent. You can manage your cookie preferences through the consent window shown when you enter the website, or at any time via the Cookie preferences link in the footer.
